Booking Conditions

These conditions apply once you've accepted a written quotation from us and a trip is confirmed. They are separate from the general Terms of Use for this website.

Last updated 26 September 2026

This page is a structurally complete draft prepared for clarity, not a finished legal document. Any section marked TODO_BUSINESS_INPUT still needs a real business decision, and we recommend this whole page is reviewed by a Nepal-qualified lawyer before it is relied on for actual bookings.

How a booking is confirmed

A booking is confirmed once we've sent you a written itinerary and quotation, you've accepted it in writing (email is sufficient), and we've received your deposit or full payment as specified in that quotation.

Deposit and payment

Deposit amount, final balance due date, and accepted payment methods will be stated clearly in your individual quotation, since these can vary by trip type, season and group size.

TODO_BUSINESS_INPUT: confirm a standard deposit percentage and final-payment deadline (e.g. 'X% deposit, balance due Y days before arrival') to state as a general default here, if one exists.

Changes you request

We'll always try to accommodate reasonable changes to a confirmed itinerary, but changes made close to your travel dates may be subject to availability and any costs already committed to third-party suppliers (hotels, transport, permits).

Changes we make

Occasionally we may need to adjust an itinerary due to circumstances outside our control (weather, road conditions, government restrictions, supplier availability). Where this happens, we'll offer a comparable alternative and communicate the change as early as possible.

Travel documents & eligibility

You are responsible for ensuring you hold a valid passport, any required visa, and (where relevant) proof of vaccination or other entry requirements for Nepal and any transit countries. We're happy to point you to official sources, but final responsibility for entry eligibility rests with you.

Travel insurance

We strongly recommend comprehensive travel insurance for every trip, including medical evacuation cover for any trekking above altitude — see our Travel Insurance page for what to look for.
